You can also initiate a Retrieval Kit™ order directly from a Team Member’s profile by retrieving assigned assets.
📋 Step 1: Navigate to the Team Member
-
Go to Team Members.
-
Select the Team Member you want to retrieve a device from.
-
Scroll to the Current Assignments section where the list of assigned assets appears.
⚙️ Step 2: Open Actions Menu
-
Find the device you want to retrieve.
-
Click the Actions button next to the assigned asset.
-
If the asset is eligible for retrieval (Laptop, Tablet, Cellphone, or Monitor) and no current retrieval is active:
-
A Retrieve Asset option will appear in the menu.
-
🚚 Step 3: Retrieve Asset
-
Click Retrieve Asset.
-
The system will:
-
Pre-fill the Retrieving From section using the team member's information.
-
Link the selected device automatically to the Retrieval Kit™ order.
-
-
You will then be able to:
-
Choose your shipping speed
-
Add optional insurance
-
Decide if the device should return to your company’s return address or to the Device Rescue IT Closet (if subscribed).
-
Optionally provide a note for the employee that will be printed in the Retrieval Kit™ instructions.
-
🔄 Step 4: Asset Status Updates
-
Once the Retrieval Kit™ order is created:
-
The asset status changes to Retrieving (or Retrieving to Warehouse if sending to the IT Closet).
-
The assignment is locked until the retrieval is completed.
-
📦 Step 5: Finalize Upon Return
-
Once the device is delivered back to you:
-
You can Mark Returned and set the Return Date, which will unassign the asset and make it available again.
-
-
If the device is sent to Device Rescue's IT Closet, our team will automatically update the asset after inspection and condition reporting.
⚡ Quick Rules:
-
Only eligible device types (Laptop, Tablet, Cellphone, Monitor) can be retrieved.
-
Assets already involved in a Retrieval Kit™ cannot have a new retrieval created until the current one completes.
-
Terminated team members can still have assets retrieved (no restrictions).
-
Actions > Retrieve Asset will only show if the asset meets eligibility and has no active retrieval.
